Scientific Submissions

We are pleased to invite submissions for both symposia and abstracts. Please read the information below before submitting. Abstracts and symposium proposals will be revied by the Scientific Committee. The local organising committee will take final responsibility for programme structure. Submitting authors are kindly requested to use AI responsibly and with academic integrity. Submissions should not be written by AI and AI cannot be a co-author. AI can be used to inform submission development. AI will not be used within the review process for conference submissions. Authors are reminded to consider the environmental impact and use AI sparingly in the sustainability spirit of the symposium.

Important dates

  • 1st October 2026  - call for symposia and abstracts open
  • 31st October 2026  - deadline for symposium submission (no extension possible)
  • 20th November 2026 - notification of accepted symposium
  • 11th December 2026 - deadline for abstract submission
  • Early February 2027 - notification of accepted abstracts

Guidelines

  • All submissions must be written in English
  • The submission is exclusively via website. Submissions by email will not be accepted
  • Attendees of the conference will only be permitted to give one oral presentation (symposium or oral abstract presentation). There are no limits to poster presentations  
  • Preference will be given to submissions towards three main themes: Safety, Health and wellbeing, Equality
  • Figures and tables should not be included
  • Do not include abbreviations in the title
Call for Symposia

A symposium is a focused, expert-led conference session that explores a specific topic in depth, often featuring multiple presentations and opportunity for questions / discussions.
Successful symposium will be allocated a 2 hour time slot, this should include presentations and time for questions/discussion.

The symposium submission should include multiple speakers contributing towards the stated topic. It is recommended for the session to include 4 to 6 speakers and must have a named chairperson who may or may not also be a speaker. It is requested that those submitting consider EDI within the make up of the presenting group to ensure diversity – please see the Equality, Diversity and Inclusion Guidance for Symposium Proposals . The local organising committee reserves the right to recommend adjustments to promote diversity and balance. A co-chair from the local organising committee will also be assigned to each symposium.
Submission should include:

  • Symposium title
  • Named chairperson, and list of speakers and their affiliated institutions
  • 200 word overall symposium abstract detailing the topic plus 100 words abstract per speaker
  • EDI consideration statement (up to 150 words)  Please briefly describe how equality diversity, and inclusion have been considered in the development of your proposed symposium, in relation to the guidance

Authors will be notified of symposium outcome by email ahead of the abstract deadline. Those unsuccessful at symposium submission are encouraged to submit individual abstracts.
If the symposium is accepted all authors must attend the symposium and present in person.

Call for Abstracts

A person may be first author on a maximum of two abstract submissions.

Abstracts may not be longer than 300 words (excluding title, name of authors and institutions)

The following outline should be used:

  • A. Introduction and aim
  • B. Methods
  • C. Results
  • D. Conclusion
  • E. Support (if any)

Authors should indicate their presentation preference or the session where the paper will be presented:

  • Poster presentation only
  • Oral or poster presentation

To be considered for oral presentation submissions must have results (abstracts without results can be considered for poster presentation)

Poster presentations will include a 1min oral blitz presentation.

The Scientific Committee and the Organizing Committee reserve the right to decide on final allocation and presentation format.
